Overview

The Receptionist is the first point of contact for the Business Service Center and provides administrative and office-services support for daily operations. This role creates a welcoming, professional experience for employees, visitors, vendors, and callers while supporting the efficient operation of the office.

The position reports to the Office Manager and Executive Assistant. The regular schedule is 8:00 a.m. to 5:00 p.m., Monday through Friday, with overtime as necessary.

Responsibilities

  • Answer, screen, and route calls; respond to routine inquiries or take accurate messages.
  • Greet and check in visitors, issue badges, notify hosts, and direct guests appropriately.
  • Follow building-access and security procedures and maintain a professional reception area.
  • Receive, sort, and distribute mail and packages and prepare outgoing mail.
  • Monitor, order, organize, and distribute approved office and general-use supplies.
  • Provide backup support for Business Service Center maintenance requests by entering, routing, tracking, and communicating updates; escalate urgent facility or safety concerns.
  • Review meeting-room calendars, confirm availability, enter reservations, and prepare rooms for meetings and events.
  • Set up and clean up staff lunches and office events and assist with catering deliveries.
  • Prepare and distribute Business Service Center announcements, reminders, signage, and office updates.
  • Provide administrative support, manage competing priorities, document follow-up needs, and complete other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Four years of front-desk or administrative experience handling multiple telephone lines preferred.
  • Strong communication, interpersonal, organizational, and customer-service skills with excellent attention to detail.
  • Ability to work independently, manage competing priorities, and remain composed during frequent interruptions.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to remain at the reception desk for extended periods, move throughout the building, assist with event setup and cleanup, and lift or carry materials weighing up to 25 pounds
