Overview

We are seeking a detail-oriented and customer-focused Rental Administrator to support Group 1 BMW of Arlington.The Rental Administrator oversees the daily operations of the rental and loaner fleet, ensuring vehicles are available, properly assigned, documented, and maintained. They serve as a liaison between customers, the service department, and accounting to ensure a smooth rental experience and accurate recordkeeping.

Responsibilities

  • Coordinate loaner and rental vehicle reservations.
  • Check vehicles in and out to customers.
  • Verify driver's licenses, insurance, and rental agreements.
  • Maintain accurate fleet inventory records.
  • Monitor vehicle availability, mileage, registration, and maintenance needs.
  • Process rental contracts, payments, and billing.
  • Work closely with the service department to provide loaner vehicles for service customers.
  • Track vehicle damage and coordinate repairs when necessary.
  • Prepare reports related to fleet utilization and revenue.
  • Ensure compliance with dealership policies, insurance requirements, and state regulations.

Qualifications

  • Previous dealership experience preferred.
  • Loaner fleet or rental vehicle experience a plus.
  • Strong customer service and communication skills.
  • Excellent organizational and administrative abilities.
  • Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, etc.) preferred.
  • Ability to multitask in a fast-paced environment.
  • Proficiency with Microsoft Office and data entry.
  • Valid driver's license with a clean driving record.
