Responsibilities

  • Answering phone calls for different departments
  • Gather of collect information to generate reporting from Zoom Workplace and activity Call Logs to the Manager
  • Responding promptly to customer inquiries via phone or email
  • Leading and coaching a small team. Ensuring help is available when needed for the Team, Departments, Manager, etc.
  • Sending emails to corresponding departments and following up emails
  • Take notes and logging in to Excel spreadsheet (Data Entry)
  • Downloading PDF statements and forwarding to vendors
  • Looking up copies of checks for customer and vendors in CDK
  • Reporting and escalations of department-related topics 

Qualifications

  • Ability to adapt to changes within the company or department structure
  • Capability to assist with 3 different departments’ phone calls (F&I, AR, AP)
  • Explain product contracts and company policies
  • Ability to navigate CDK and DocuWare
  • Knowledgeable in Word, Excel and PDF programs (Intermediate or Expert)
  • Communicate daily with a wide range of customers and company departments
  • Assist in training new staff on customer service protocols and software tools
  • Collaborate with team members to continuously improve our service
  • Excellent time management skills, ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Covering receptionist desk when needed
