Key Responsibilities:
- Track and manage shop workload to ensure timely vehicle repairs
- Dispatch work to technicians based on skill level and service timeline to ensure accuracy and timely completion
- Maintain an accurate, up-to-date service scheduling form (route sheet)
- Monitor repair progress throughout the day, notifying ASM/Managers of any potential delays or issues
- Communicate effectively with ASM's, management, and technicians regarding job status and customer needs
- Provide technical staff with additional vehicle condition information as necessary
- Document all repair order changes accurately
- Ensure compliance with service department and manufacturer timekeeping procedures
- Follow manufacturer, state, and federal requirements in all billing and operational procedures
- Track and manage carryovers to ensure timely completion of vehicle repairs
- Pre-schedule appointments for special-ordered parts and track their status
- Report any situations that could compromise the safety, welfare, or integrity of the dealership, customers, or employees
- Assist Service Management with any additional duties as needed
What We’re Looking For:
- Automotive Service Dispatcher experience is preferred
- Understanding of the automotive service workflow
- Proficient with Microsoft Office (Excel, Word, Email)
- Experience with ADP/CDK Dealer Services is a plus
- Ability to work independently and stay self-motivated
- High-energy personality with a positive attitude
- Exceptional customer service skills and a professional appearance
- Strong attention to detail and ability to work in a process-driven environment
- Outstanding verbal and written communication skills
- High school diploma or equivalent
- Valid driver’s license and a clean driving record
